Information we collect
We may collect names, contact details, event dates and locations, guest numbers, creative requirements, correspondence, proposal and booking information, payment and transaction records, supplier or venue details, and anything else you choose to give us. Where agreed for an event or portfolio, we may also process photographs or video that identify adults or children. Our website and service providers may process technical and security information such as IP address, browser type and submission time.
We normally receive information directly from you. We may also receive it from a person organising an event, a corporate client, venue, supplier, photographer or another person authorised to act for you.
How and why we use information
- To answer enquiries and prepare proposals: steps requested before entering a contract and our legitimate interests in managing enquiries.
- To plan, supply and administer events: performance of a contract and our legitimate interests in delivering and improving our services.
- To manage payments, accounts, insurance, disputes and legal obligations: performance of a contract, legal obligation and our legitimate interests in protecting the business.
- To keep the website secure and prevent misuse: our legitimate interests in security and fraud prevention.
- To publish identifiable event photographs or video for promotional purposes: consent or another lawful basis explained when the material is collected.
Where we rely on legitimate interests, those interests are effective event administration, client service, business record-keeping, security and the responsible promotion of our work. We consider the effect on the people concerned before relying on this basis.
Marketing
We do not use a website enquiry as permission to add you automatically to a general marketing list. If we send electronic marketing, we will do so only where the law permits and will provide a simple way to opt out. You can ask us to stop marketing at any time.
Who we share information with
Where necessary, we share information with website hosting, security, enquiry-delivery, email, IT and payment providers; event venues; caterers, entertainers, photographers and other event suppliers; professional advisers, insurers, regulators and law-enforcement bodies. The website enquiry form is delivered through FormSubmit. Suppliers receive only the information reasonably needed for their role. We do not sell personal information.
International processing
Some providers may process information outside the United Kingdom. Where UK law requires protection for a transfer, we use an applicable adequacy regulation, the UK International Data Transfer Agreement or UK Addendum, or another lawful safeguard. You may contact us for information about the safeguard used for a particular transfer.
How long we keep information
- Enquiries that do not become bookings are normally kept for up to 12 months after the last contact.
- Client, contract, payment and event-administration records are normally kept for up to seven years after the event or the end of the relationship where needed for tax, accounting, insurance or legal purposes.
- Marketing preferences and suppression records are kept for as long as needed to honour your choice.
- Portfolio photographs and video are reviewed periodically and removed from future use when the relevant permission or lawful basis no longer applies.
We may keep information for longer where a dispute, legal claim or other legal obligation requires it, and delete it sooner where it is no longer needed.
Children and event photography
This website is intended for adults. Children should not submit information through it. Before using an identifiable child’s image for our portfolio or marketing, we seek appropriate permission from a parent or guardian and explain the intended use. Event organisers should avoid sending unnecessary sensitive information about children through the enquiry form.
Information you must provide
There is no statutory obligation to use our enquiry form. A name and email address are required so that we can respond; without them, we cannot deal with an online enquiry. Additional information is optional unless it becomes necessary to prepare or perform a booking.
Automated decisions
We do not use personal information collected through this website to make solely automated decisions that have legal or similarly significant effects.
Your rights
Depending on the circumstances, you may have rights to access your information, correct it, have it erased, restrict or object to its use, and receive certain information in a portable form. Where we rely on consent, you may withdraw it at any time without affecting earlier lawful use. Contact us using the details above. You also have the right to complain to the Information Commissioner’s Office.
Cookies and similar technology
This website does not currently use advertising, analytics or personalisation cookies. The hosting and security service may use technology that is strictly necessary to deliver and protect the website. Our fonts are stored on this website rather than requested from an external font service. Because we do not currently use optional cookies, no consent banner is shown. We will update this notice and introduce prior consent controls before adding optional analytics or advertising technology.
